What is MOM Format? MOM stands for Minutes of Meeting and is used to record details of a meeting. The MOM captures all the details related to a meeting in a single document so that anyone can refer to it later and understand what actually happened in a meeting. A MOM format is a style or pattern in which minutes of meetings are captured. The form can be generic or specific to the company. Typically, MS Word is the preferred tool to capture a MOM. Other formats can include Excel, PowerPoint, and in some cases an Outlook or email. Download This Templates Now! Minutes of Meeting Example What should a MOM Format contain? General Information and Attendance The first section in the template has details that are more general in nature. Most of the fields are self-explanatory. The meeting chair is the person who is the key decision-maker. The meeting title is a short description of the meeting. Attendees are a list of the people who attended the meeting, and apologies are used to document people who did not participate. Agenda, Summary of Discussion, and Conclusion The Agenda should contain the key discussion points for the meeting. It should be a set of bullet points describing the different topics planned to be discussed. The agenda should be set before the conference is organized to use the agenda you sent when you scheduled the meeting. The discussion summary should contain a detailed list of discussed with specific names to clear who said what. The discussion summary is the critical section, as most of what was discussed will be captured in the area. So, you should add as many details as you can. The meeting concluded in the MOM template should contain a quick summary of the meeting's conclusion. If two different topics were discussed, then you can have bullet points to discuss both issues. Action Items and Decision Register This section in the MOM template helps keep track of the tasks agreed upon in the meeting. If you do not need the decisions sections, then you can delete that from the template. It is highly recommended that you leave the action items. General Section of Minutes of Meeting Action Items and Decisions in MOM Format The action items section is also one of the critical areas in the MOM template, as it captures what tasks or actions are pending. Assigning action items is very useful as each action item will have an owner and deadline. Every Action will have a Serial Number - a counter, Action Item - what is the task, Owner - who is responsible for the job, Due Date - the deadline for the task. It is essential to keep the action items rolling, meaning the action items are published until closed. Even after closing, I would suggest keeping the closed action item in the document with closed status for at least one meeting so that people will know when something is closed. Like the action items register, the decision register captures decisions made in a meeting. Each decision contains a Serial Number - a counter, Decision - a description of the decision made, Decision By - who made the decision, Date - the date on which the decision was made. The decision register should also be rolling and should be kept in the minutes as long as possible as people need to know what decisions were made and by whom. Meeting Minutes - Decisions and Actions MOM Format PPT or PowerPoint Template PPT also provides ease of creating a MOM format. Out MOM PPT template captures the following details. Necessary information about the meeting, like meeting name, date, time, place, and host. The meeting objective covers the reason behind having this meeting. It can be a short summary to indicate what is the reason behind the arrangement. Attendees and apologies have the list of people who attended and not attended. Agenda is a list of agenda items that need to be discussed in the meeting. There is a discussed column for you to mark when the thing is concerned. Action items have the actual description, owner, and due date for that action item. MOM Format PPT MOM Format Email Template (Outlook) Sending minutes via email is not recommended, but this is an option that can be used. This template is elementary and covers all the details. But at the same time has been designed to easily fit into an email. You can send minutes via email when it is not a formal meeting that involves senior stakeholders. One of the disadvantages of using email MOM format is that you cannot store like you store documents. To use the MOM template, simply open the .msg template with outlook. MOM Format Email Template How To Create Your Own MOM Format While you can always use the readily available MOM templates, it can sometimes be necessary to create your own. Depending on your project's need, you may want to create a customer MOM that will help you. Please follow the below steps to make your own format. Step 1: Pick your MOM format or doctype - Understand what kind of document you want to use Excel, Word, PPT, or simple email template. Step 2: Finalize the content you want to see in the minutes. Generally, people have meeting title, time and place, attendees/apologies, agenda, items discussed, and outstanding action items. You can add your own specific sections like budget, risks, etc. It is vital to understand. Step 3: Based on the content, divide the document sections into different categories, depending on the tool being used how you create the selection changes. For example, in word and PPT, you will have to use tables, whereas, in Excel, you will need to merge the cells to create blocks. Step 4: Depending on your choice, color the headings. Typically, as minutes are a very formal document, the colors are light.

The status report is a passport out of trouble for the project manager because by sending the status report he is making everyone part of the problem. Download This Templates Now! Project Status Report Benefits of writing a Project Status Report In this article, we will look at the project status report template in MS Word which can be used to send weekly updates to all the people involved in the project. Before we start writing a status report, we should understand some of its benefits - A crucial tool for any project manager as it captures all the critical aspects of a project - Budget, Schedule, Risks, and Issues. Most of the companies or business prefer a weekly report, so it forces the project manager to gather the status - its acts like a checkpoint. Keeps the team and stakeholders informed about the current project status. Also, a chance for a project manager to make sure everyone is on the same page. The project status template Allows the project manager to highlight critical risks and issues. Even though a lot of people ignore the status report a PM would have played his or her part by providing everyone the details. Helps in setting an expectation for resource dependency as you can articulate what type of resources you need. Used in team meetings or other meetings as a starting point for discussions. Let's see how you can make your status report useful and informative. The critical point with the status reports is to be able to keep it within one page. Keeping it limited to one page makes the report more readable and easy to update. It is essential that a project status report covers the critical parameters of a project. I have used Microsoft Word, but you can use whatever document format you prefer. I have divided the report into 4 sections. Project Details and Summary Update, Project Key Parameters, Project Schedule, and Risks/Issues. Section 1: Project Details and Summary Update Download This Templates Now! Project Details and Summary The first section of the project status report template contains the necessary details and a brief summary update of the entire project. The necessary details include information like Project Name, Project Manager, Project Status Date, and optional project code. The status date should be the date on which the report is being drafted. It is very important to put the right date in as it will give you an idea about the project status at that point in time. The summary section is one of the most read parts in the status report. You have to make sure that you write a brief and crisp summary. Make sure that you do not write too much content as people will not read long paragraphs. The summary should be targeted towards giving a glimpse of activities that have happened in the last week. You can use the summary to convey both good and bad news. Please see examples in the picture above. You can add any additional fields as you wish to the project status report template. Examples of short summary- Example 1: The project is facing significant delays due to defects identified in the quality assurance. The team is working on fixing the issues. The project budget is estimated to run over. The project schedule still remains in on track. Example 2: The vendor has indicated that the delivery of the product is on track. The internal project team is ready for analysis. The project schedule is a concern due to the unavailability of infrastructure. Section 2: Project Key Parameters Key Project Parameters The critical project parameters within the project status report template contain the essential aspects of the project. Each parameter can have 3 statues - on-track, delayed or off-track. On-track means everything is fine, delayed means there could be some delays but still under control and off-track means that aspect of the project is way off and needs immediate attention. Generally, the status of a task or project phase should be marked delayed before it is marked as off-track. It is essential to use the delayed status early if you see an issue. Business stakeholders do not like or feel misinformed if you change status from on-track to off-track. It also means that the situation was not handled as it went straight to off-track The schedule is the planned dates as per the project plan. Quality refers to the testing phase and in general, refers to the overall quality of the project. The scope is a gauge of project deliverable. Budget is the financial aspect of the project. Risk and Issues will tell the stakeholders if the risks and issues are currently manageable or not. There is a comments column for each of the parameters. The comments can be used to provide a brief explanation of the current status or can be used report numbers like % complete, defects open, current spend etc. Section 3: Project Schedule Project Schedule The project schedule section with the project status report template can be used to display the key project phases or stage gates. You can display the project timeline or individual project phases with start date and end date with % completion in a tabular format. Please see an example. I prefer to show the summary tasks in the project plan with their basic information. It is up to the project manager to decide how he or she want to report on the schedule. Generally, the senior management of the company will always look at high-level dates or milestones rather than getting into the details. You should use whatever the project team is familiar with. You can always copy paste this information from your project plan. The project schedule is important as the project team needs to be aware of the key dates that the project must meet. Section 4: Project Risks and Issues The project status report template contains a section for project risks and issues. This section enables a project manager to highlight the key risks and issues. The project manager should avoid adding all the risks and issues as it will make the list too long and readers will not get a clear idea. It is always a good idea to add only the top 3 or 4 risks and issues. At times you can also add the current risk or issue which is of high severity. You can also add what possible mitigation you can have a separate line in the risk/issue description. The owner of the risk or issue is a person responsible for some action item to mitigate or address the risk or issue. The risk or issue status will be open or close. It should be open when the risk or issue still needs to be looked at. It should be closed when the risk or issue has been addressed. It is a good idea to leave the risk in closed status for a couple weeks in the report so that people can see it is closed. If you remove the risks or issues immediately after closing people will never notice a certain issue was addressed. You may choose to move the closed risk at the bottom of the list. Final Project Status Report Final Project Status Report After having populated different sections your project status report will look similar to the image on the right. As mentioned earlier the key here is to keep the status report short and crisp. You want your team and business stakeholders to read the report every time you send it to them. Generally, most of the project managers send a weekly status report to the team and stakeholders. Sending regular weekly status reports will ensure that everyone is aware of the current status of the project. It also a good practice to copy the project parameters section in the email which will have the project status report.You can change any of the sections you wish to. Also remember that you should send the status report to everyone involved with the project including the stakeholders, team members, senior management, vendors, clients as applicable. Simple Version of Project Status Report Not all projects need a complex status report which has all the KPI. Sometimes you need a simple status report which can help in conveying the required message. In this article, we will look at two simple versions of project management status reports. Project Management Status Report Free Download Simple Project Management Status Update - Sample 1 The report contains 3 key sections other than the project name and date. The 3 key sections are - Key Updates, Project Milestones, and Project Deliverable. Project Milestones section will contain key project milestones and their status. The status can be On Track, Concern or Delayed. The key updates section is a free-form update of the latest project news. It has been divided into two parts to allow effective use of space. The last section is project deliverable. This section will have the project deliverable listed with the reference number and scope indicator which indicates if the item is still in scope or out of scope. This is meant for general project updates. Project Milestones section will contain key project milestones and their status. The status can be On Track, Concern or Delayed. I thought I'd show you how I plan my week with the bullet journal. I'm still loving it and have used almost half the pages in the journal this year. The simplicity and the ease of having someplace central to jot notes and write down random things makes it really work well for me. So, to do a weekly goal/checklist, first I make a grid. This is an ever changing grid as I add things and remove things, but the basic categories are Meals, Spiritual, Family/Home, Personal, Work, and To Do. I've also added a How Has God Worked column to jot down things I notice about God's work in my life this week, and I recently added a Prayer column, so it's always there in front of my mind. Love that addition! So after I write out the grid, I transfer over the items from last week's grid that didn't get completed and mark them as moved over (with an arrow through the empty check box), so I don't miss anything. Then I add in anything else that is coming up that week, or any goals I might have. . . . . . *side note: I just finished setting up a file system based on Getting Things Done by David Allen. I think this is going to work amazingly well with the Bullet Journal, but will post more on this later. . . . . . Now, after my grid is filled in, I start my list for Monday. I try to not get more than 5 items listed in one day, but usually break my own rule and list more (like today), and if I don't finish them, they get rewritten onto Tuesday's list. I rewrite them each day, so I make myself sick of seeing them there and DO SOMETHING ABOUT THEM. Does it work? Sometimes. . . . . . I also set up a loose schedule for the boys. There are no times on here because the only time frame they go by is that they can't do things they want until the stuff on the list is done. That way, there is no RUSHING or STRESS this summer, they just lock themselves up from friends/TV/Video games until they do the work. Pretty low key, but works well for them and me. The ETC chores at the bottom are chores I'll list for them to work on so they can earn more screen time. They are usually things that need to get done around the house, or things from the Motivated Moms chore list that they can do. I've been so convicted lately about my own use of time, and watching the boys sit around and wait for their video game time or fight and bicker makes me crazy. I've found, over the years, if I keep a loose schedule for them over the summer, our days are much happier and there is a noticeable difference in the bickering level around here. Ok so, if you read this past post, I discovered Bullet Journaling about 3 weeks ago. Here are the pages I have so far in a nutshell: Verdict? I love it! Not only is it compact and portable, but I feel like it is really flexible in where I can always add things/ideas/lists without messing up my day to day tasks and journaling. Some things I do that may be different from how others utilize their bullet journal is that I write down my expenses in red, so I can see at a glance how much I spent on a day/event. (i.e. In my task list I would put- Got gas / $60) Here are a couple of pages aside from my day to day task lists: As you can see, what you can do with your bullet journal is only limited by your imagination. I use it to sketch, to note down blog ideas/posts, plan for my son's 1st birthday, all on top of noting what events happen and tasks I need to do day to day. I know it's not as decorated as a filofax-type of planner, but as for now I have so many other crafty things that take up my time (quilting / watercolor / pen pals / project life) that I actually like the simplicity and flexibility of my bullet journal.
