Implementing sustainable and green practices into your events really could not get much easier. Need executive or client approval? Even easier! Many of these practices can save money as well as the environment. There are three general areas in which you can look for sustainable practices. These are with the venue you select, the services you contract (within the venue or other contractors) and the materials you provide to your attendees. Venue A simple step is to utilize paperless proposals and contracts. Gone are the days of receiving a glossy, multi-page brochure and proposal in the mail. Proposals and contracts can be done much more efficiently via email. When you are looking for a location to hold your next event, ask each venue you are considering about their recycling and energy saving efforts. They should be able to provide you with a list of the sustainable practices. Recycling and energy saving lighting are pretty standard by now. Some hotels are also participating in larger programs like Clean the World which takes used bars of soap, sterilizes and repackages them to be sent on to people in developing countries who would not otherwise have access to hygiene products. Whatever the practice is, your venue should be able to provide you with the details. It may not always be possible, but try to consider the location you select as well. Can you reduce the carbon footprint of our event by holding it in a location that is close to the majority of attendees eliminating the need for travel? If not, look at reducing travel once the attendees arrive by having enough to do onsite or close by so that they will not need cars to get around. Services Now that you have selected your venue, continue to look for sustainable practices as you develop your event. Some of these will be dependent upon your venue and vendors. Talk to your chef about using locally grown and/or organic produce. This has so many environmental benefits. Not mention that in season produce prepared by a great chef is just delicious! As you are planning for your meals and breaks, serve items in bulk rather than in individual containers. For instance, rather than offering wrapped granola bars and trail mix at that morning break, place various items such as nuts, dried fruit and candy in large containers and allow the attendees to build their own trail mix. This goes for water as well. Give your attendees a reusable water bottle and have water stations versus bottled water at your breaks. I did this at one of my meetings and received more than a few grumbles on the first day. At the end of the meeting we shared how much was saved by this one change, people were shocked. By the next year, many attendees were showing up with their own water bottles, ready to be filled. When possible, utilize glassware and silverware rather than disposable servingware. Try to reduce the use of to-go containers and paper coffee cups. If you need to have items individually wrapped or served grab-and-go style so your attendees can catch a flight, ask for biodegradable options. Materials Some of the printed materials will be easy to eliminate. You can invite your guests and provide relevant updates by email rather that mailing invitations. Post the full event details and manage registration online. As with the venue agreements, coordinate your speaker confirmations through email. If you are still collecting paper surveys at your event, there are plenty of free services to distribute an electronic survey for feedback. This will also save you time from having to tally the results manually. The handouts onsite are a little tougher to eliminate at all at once. Attendees are used to having that printed program or agenda to refer to throughout the event. If you are considering moving all these items to a meeting app, launch the app while you phase out the printed material slowly. Post session handouts on a secure website for attendees to download before they arrive as well as giving them access through their mobile devices throughout the event. Scale down the program book to a basic schedule with full information available on your website. These are just a few ways to begin making your event more sustainable.
